WEEK (8): Monday, May 24, 2010

Today we have an early meeting with a group from the Quality department. They talked about the CESS project and they discussed new services. Moreover, I organized some files and send emails.

Today I came early because we have an inspection at 6:30 a.m. It was hard for me to leave home early but I was very enthusiastic to see the inspection and when I saw all the departments are ready and how they are working hard I forget the fatigue. Then I worked on the Electronic Archive.

Our department had a long meeting to discuss all the issues related to the annual inspection and the meeting finished at 2:30p.m. All the departments were so busy organizing their projects, plans and the statistics.

Today, we have a meeting with our manager to decide on what are the new items that he will choose for Dubai Police marketing. He chose some beautiful items. Moreover, I called some companies to ask them about the items.

Today my supervisor told me that I am doing my work placement in Dubai Police in a very busy and critical time which will in learning and getting a good experience. Everyday I learned new things, sometimes I feel that I have work pressure on me that I can’t work on my final report because I have many other things but I am trying my best to organize my time.

Today I worked on the annual inspection presentation; I collected some photos and information for it. I think we are really working hard on this project and the place here is so crowded and all the staff are too busy.

Today we received an email which is about the annual inspection and all the departments have to stay late for the next two weeks. I sat with Athwa Ahmed, the Administer Officer. She told me about the previous annual inspection and she showed me the presentations and the Lieutenant General comments.

WEEK (6): Thursday, May 13, 2010

Today, I had my last interview with Maryam Al Marzouqi who works as Multimedia Designer. Maryam is a graduate from Dubai Women’s College. I sent to her a thank you letter and she replied to me that she was happy to have the interview with me. I am so happy and so proud to work in Dubai Police and I am so grateful for their support and cooperation.

Today, my manager gave me some files to print and organize them in folders. Moreover, I sent some mails to the other departments. I think now I am good with sending mails as I was facing some difficulties earlier in sending mails. Also, my vocabulary has been improved.

Today most of our department members went to Microsoft meeting so the department was very quiet. I worked on the minutes of the meeting and I put it in the Archive.

We had a meeting with our manager. She told us that we should work harder to finish Dubai Police website which will be published after one month. We divided the work between us and my work is to test the services that we have.

Today I sent a mail to Mohammed Arif who works as a WebPages Designer in Dubai Police. I asked him when I will have the interview with him and he replied to me that he will be free at 1pm. Then, I went to CID Department and I had the interview there.

I had my interview with Taha Hussein the Head of Planning and Community Outreach Division, he was so kind and he answered all my questions clearly. Moreover, he showed me some new services that they are planning to have and how they are marketing them.

The weather was nice today but I have to do lots of work. I designed some Power Points slides for the annual inspection, which will be presented within few weeks. All the departments were so busy because they will be assessed on that day so they should be well prepared.

Today we have a weekly inspection, the men in our department were outside because they have to be in military column, but the girls were inside the department organizing and preparing all their projects to be ready to present them to the top manager. It was a tough and long day.

Dubai Police are eager to implement high quality group videoconferencing systems over their existing local/wide area network. Today the Intranet group sat and discussed the project; the system supports the highest quality video and audio. The highest quality content allows the same document camera to deliver live and interactive content at twice the resolution of traditional videoconferencing systems. I learned from this meeting how they monitor the project progress and now I know where they put their cameras :p

Today I send many mails to two persons in different departments and I asked them if I can take an appointment to have an interview with them. They were so nice in replying to me and very cooperative. Also, I worked with Fatima Mohammed, the Program Designer on the new Police website and we wrote all the comments and we sent them to the company who are working on the website to develop it.

In the work placement I learned many new things such as the new programs and projects. Also, I learned that I should know how to deal with different personalities. Dealing with the military people is much difficult than the normal people. They have many rules and regulations in their daily work so, I have to remember their police ranks when I deal with them and if I forget that, it will be an insult for them. Today, there was a big fight for the same reason that I mentioned and I was so afraid and I couldn’t move from my chair. At the end they had a judgment panel to solve the problem.

We had a long meeting today, all the departments were there and each department’s manager presented their department new projects. I was so happy to attend this meeting because it was a private meeting but they allowed me to learn from it. It was a very nice and useful experience to see all the presentations of all the managements and what are their goals and objectives and how they are going to achieve them.

As I mentioned before Dubai Police is requesting proposals to archive all the documents, e.g. videos and photographic negatives under an Enterprise Archiving Solution. Today I worked also on the Electronic Archive in the General Administration of financial. The archived data should be organized so there are a large team who are working to update the information and am learning from it.

Today, I worked on the Electronic Archive. It is a huge project which will help Dubai Police to finish their work in a short time. The Major General Dhahi Khalfan Tamim wants to have all the papers in all department organized even the videos and the news papers in electronic system. So they created this system to enable them to have all their documents, files and videos organized in an electronic way which will save time and effort in finding anything. Furthermore, the system will organize 10 million documents and 500,000 photos. I learned how to scan the documents and photos, where the documents are currently stored in and organized and define the attributes of each category of document.

The employees in CID were so busy today therefore, I waited for the lieutenant Ibrahim who sat with me and explained the Fleet Focus system. Also, he spoke about the Weapons System which is a new thing to me and I was scared but it was an interesting experience. Finally, he told me about the findings and missing system. It is really a useful system because it is easy and you can enter your information online and the Police will help you.

Today, I learned about the Trainees System and the system of government measures. I had to read the trainees CV and I but it on the Training web page in Dubai Police Intranet. There were many trainees but, they had to do three interviews and they should pass all of them before recruiting them in Dubai Police.

Dubai Police cares about the attendance and the leave system. Therefore, there is a weekly report which shows the attendance records of all the employees. I was assigned to work on this system which is on the Dubai Police intranet. I worked on attendance page and prepared the report for this week.
Also, the First Lieutenant Faraj Al Muhiri explained to me the procedures of the security situation in Dubai, how they manage it and which companies Dubai Police cooperates with. Moreover, he explained to me about the security system in CID department and how it is connected to Human Resources and the Traffic System.

I sat with Ahmed Qaeed who is a policeman in CID. He explained to me the system of traffic accidents in Dubai and he showed me how they organize the policemen in all areas in Dubai. The policemen have a new system which informs the policemen by SMS then, they will know which area that they should cover in Dubai. Furthermore, he explained to me the receipts SMS system, which is a new system that the Traffic Department is using. They send a SMS to their employee to tell them about their shifts and which police car they should use everyday.

Today, I moved to CID Department and I sat with Mohammed Arif who works as a designer in Dubai Police. He explained to me the attendance and the leave system in all the Departments. Also, he explained how the public or the employees in Dubai Police can report any failure of any services and how to do the statistics for the failures reports for each month. Moreover, I was introduced to the E-recruitment service which is considered as a very useful tool for any candidate is applying for a job in Dubai Police. Simply, you can attach your CV in Dubai Police website and then they will call you for the interview.

WEEK (2): Thursday, April 15, 2010

At 7:40 a.m. I sat with Mr. Saeed Al Kitbi who is in charge of the marketing in Dubai Police. He showed me how to organize everything for any event or exhibition. Also, he told me that he always tries to make Dubai Police participating in the global competitions to win the awards which will be good for Dubai Police between all other government companies. The good thing that yesterday Dubai Police won the award which was in Lebanon and the managers of all the departments traveled to attend the ceremony.
After that, there was a meeting with Dubai eGoverment to discuss the Strategic Plan for the services. Dubai Police wants to provide benefits and values to the customers. Moreover, they discussed the Strategic Importance, End Customers, Nature of Services,Pprovisioning Channel and Services Dependency. I learned that services can be provisioned to multiple end customers which mentioned above. For example, some services can be leveraged to Business and Citizen hence they will be categorized as G-B and G-C.

The second day in E-Markiting, I worked on the technology brochure which is online. Then, Mr. Tridib called me and told me that he arrived to Dubai Police and I went to meet him in my office. My supervisor was waiting to meet my teacher and after the visit I went back to E-Markiting and I worked with Mr. Taha Mohammed(Head of E-Marketing Section). He told me about the new services, there are many services that Dubai Police have for the customers but, nobody know about some of the services.
Also, he told me that Dubai Police wants to change all their services to have online services but, they have to do a statistics for the users. At the end of the day, my supervisor told me that I have to call the company which designs the stages for Dubai Police in the events. When I called the manager, he didn’t talk to me in a polite way and he told me that my manager in Dubai Police should call him and not me who is still a new trainee. I know that I have to face this kind of problems I dealt with it in a very professional way. I apologized to the person and I told him I will convey the message to my manager.
It was really a difficult situation for me but, the good thing that I knew how to handle it without making any big problems.

I moved to E-Marketing section, we had the second meeting with GSS American Company to discuss the agenda and the plan for the website. We talked about many things such as: the date of the project, the policies, the information that they will use for the website, the language of the site (switch language), the codes, the security of the website, the special needs pages, media pages, news, gallery and the final plan.
Mr. Fwaz Al Hamadi, the E-services Manager told the company that Dubai Police wants something unique because the website of Dubai Police won many awards so, it is a risky step if they want to deal with any new company. Also, Dubai Police wants to have a new service and we discussed this point.
It was a wonderful experience to attend this particular meeting. I benefited from this meeting and I learned many useful things. Also, I have to work on the weekly technology magazine. Long day…

WEEK (2): Monday, April 12, 2010

On Sunday, I received an email from my manager, she told me that I have to contact Dubai eGovernment to clarify the Evaluation of 2009. In fact, I don’t have an idea of this evaluation so, I spent 3 hours reading about it to have a clear idea about this before working on this project. When I arrived to the office, I tried to call Dubai eGovernment and I had some difficulties to have the number of the right guy. After that, I got the number of the person in charge and. I discussed with him each point in the evaluation form. I collected the information and I send it to my manager. We had a small meeting to discuss the Evaluation of 2009, I told them about the points that Dr.Okan, who is responsible of the evaluation in Dubai eGovernment.
Although I had so many difficulties in dealing with new people for the first time and how to work on new projects but, I learned many things that will help me a lot in my future career.

In this day, we reviewed Tuesday’s meeting with our manager and we compared our website with other websites such as: RTA website, General Authority of Islamic Affairs & Endowments and Dubai Municipality.
Moreover, I worked on the Intranet group and we had a call that there will be a meeting with the Major Abdualla Kamis Bu Omem and the Captain Hamad Omar from HR Department. Three members of our department attended this meeting and I was there to write the minutes of the meeting.
They discussed how they can improve the requests for press interviews and they followed up about the online service; it’s a service that allows media to fill a request to meet with His Excellency Commander-in-Chief or his Deputy or one of the officials in Dubai Police. Also, they discussed the Beneficiaries, Departments & Administrations and Procedures. Moreover, the Major discussed the formal letter with the proper identification papers, it should prove belonging to an official media establishment with a proper address for receiving responses.

Today at 09:00 a.m., employees from E-Services Dept. had an important meeting with Dubai Government eServices Quality and they discussed how to achieve the objectives and criteria of Dubai Government eServices Quality Assessment. My manager attended this meeting and then she came and discussed the minutes of meeting with us.
Dubai Police was thinking about putting Dubai Police information downloaded in tejari.com website, Tejari has a premium range of E-connect Packages designed to promote more on-the-ground and face-to-face interaction between the buyers and sellers. Many companies want to corporate with them but the manager of tejari.com chose GSS American Company. It has been a leading Global IT Services company, focused on providing cost-effective IT Solutions using Global Delivery Model. My Manager asked them to come today to discuss about the new website how to download the information of Dubai Police information so, our meeting was at 02:00 p.m.This is our evaluation for this year:



Dubai Police should follow the global standards such as: Common Look & Feed, Website Content and Website Designer. The Department Page Header Standers should change the golden color to white color. The website should have availability of search tools to find any information you want and the website should be online website survey.
In the minutes of meeting, we discussed many things for example: the costs of that and the company should communicate with us (technical support). The GSS American Company had perfect offers for us and they were so professional. The meeting took 01:44minutes so, our manager asked us to have a small meeting at 07:30 next Sunday.
I learned many things from this meeting, I think it’s an opportunity for me to attend big meetings and to see how to sign the agreement between Dubai Police and GSS American Company.

WEEK1: Wednesday: 07-Apr-10

Once I came to the office I started doing a survey for Dubai Police to be placed in the main website. When I started doing the survey, I found that this survey will be a good way for all the people who check the website to check their car fines and be familiar with all the new rules and regulations of Dubai Police. It’s a very useful tool and any male/female can check the website from home or work and pay the fine though the website. These services have saved people time and effort instead of coming to Dubai Police and pay their fines or clarify about any rule.

The safety improvement is one of the most important and urgent project that Dubai Police always working on and trying to improve with the latest safety rules in order to create a healthy and safe environment. Furthermore, it allows the employees at Dubai Police to check the black list people status and the reason of any crime or assault. The number of the website users in this month April 2010 is 30.453.668 users. Each month, all the departments should do a survey about their service to evaluate this service. In my opinion, this survey is very good for them because this will help them to improve their service. Also, today there was a meeting in the General Department of E-service; the meeting was with ISOFT Emirates L.L.C. They were discussing the costs, the services and then the manager of E-Service Department compared between their proposals with another two companies which are United Company Management Consultancy and Emirates Computers and the study of all the proposals is still going on.

Most of the girls told me that the first day at the work placement will be boring, but it was different with me. I was nervous as any new employee coming to a new work place. Actually I was shocked when I saw the place as it is full with policemen everywhere. I came at 7 a.m. and after half an hour, I sat with my manager and she discussed with me the action plan that she organized for me. I visited the HR Department; they took some personal information from me to make a notification for me to enter all the departments.
Dubai Police has 17 Departments and 10 Police Stations in Dubai. I am working in E-Services Department and it has 5 different departments which are as follows: Administration Department, Quality Assurance Department, Electronic Operations Dept., Electronic Applications Dept. and Network Management and Technical Resources Dept. I moved between those departments.
At 10 a.m., I sat with one of the girls, she gave me an overview about all the departments and she gave me some work to do in the first day because they have a lot of tasks. There are many projects that Dubai Police are working on and they are approximately 50 projects. They want to make all the departments connected together by a network. Also, they wanted to have the latest technology to communicate with the society by their website.
Now, they are working on Dubai Police website, they want to change it to have a new modern site. They are trying to find a new company with a provisional designer and they found one in USA but, they are still working on this project. She showed me the new website; it is sample and attractive because there are many services on it.
I was surprised with all of the progresses, they are doing everything with the highest technology, the attendance is online, and each Policeman takes his gun by fingerprint. Moreover, I organized the files for the projects and printed some project templates.
It was a hard day but at the same time it was a nice experience because it’s a new environment for me and all of the employees here are working to help the UAE.

WEEK1:Monday: 05-Apr-2010

In the second day, I sat with Athwa Ahmed, the Administer Officer. She told me that each month Dubai Police makes a survey for all the services that they have and they try to evaluate and develop them. Also, I had to work on SSO project (Single Sign On) which is a modern system, it was a good and a new experience for me. SSO is used for Electronic Messaging System, e-Traffic Application, Traffic Engineering, Lost and Lost and Found system. ISOFT Emirates L.L.C is responsible for this project. This project will help the users in Dubai Police, this project was suggested by one of the department employee. Moreover, I noticed that if any employee has any suggestion or complaint, he/she can send an email and he/she will get a reply from the concerned department.
Dubai Police always comparing their services with other government services because they want to be the best. Furthermore, the Kiosk is a perfect project because it is a touch screen with many services, you can renew license, register for traffic services and the customers can write their opinions about the Police Station. It makes the services easier for the customers and you can find those machines in many Shopping Malls and Petrol Stations.
Moreover, I worked on the final part of the survey for this month and I found out that Kiosk project is still demanding 31198007 users who are using these machines for this week. It is a nice project and I am so happy that I got the chance to work on it.
